# Link, Review, Share, and Retain Files

Attach documents to the right record, complete review, create safe delivery drafts, and use recovery and retention states deliberately.

## Attach a file to the right record

Open **Files**, select the file, and review **Current match**. Use **Client search** when the file shows **No client linked** or the current match is wrong.

Compare the intended client before saving the link. Reopen the file and confirm the **Client**, file name, upload date, and preview.

## Review a document

Open the authenticated preview and check the full document, not only extracted signals or a thumbnail. Record the visible review status and notes that another authorized reviewer will understand.

Approve only the exact version you inspected. When rejecting or correcting, state the useful reason and confirm the final review status after reopening the file.

## Share or download safely

Confirm the audience and minimum necessary file before choosing a download or delivery action. A downloaded copy leaves its Workganic context.

For delivery, review the channel, recipient, subject, message, and file. Save a **Delivery Draft** if the destination is not ready. Resume from **Delivery Drafts**, verify the context again, and send only after review.

Confirm the completed delivery or saved result in the visible history. Do not assume opening the composer sent the file.

## Restore or remove a file

Use the available archive, trash, restore, or removal control only after confirming the exact file and record. Reopen the relevant list and verify the resulting state.

Retention, recoverable removal, and permanent removal are different. A hold or required review can prevent final removal. Stop when the confirmation says the action is permanent or your authority is unclear.

## Stop conditions

Stop if the record match, document version, review authority, recipient, minimum necessary scope, recovery window, or hold state is uncertain.
